TimeCard Dashboard
The TimeCard Dashboard page provides an at-a-glance view of the daily work hours for a selected work week.
You can view these totals by employee or by property, by clicking either the SORT BY EMPLOYEE or SORT BY PROPERTY button.
To view an individual week:
- Select or enter a date that is to be the end date of a seven (7) day period you wish to view. For example, if you want to view from 2/15/2009 to 2/21/2009, select the 2/21/2009 date from the calendar, or manually type in the date.
- Select FIND.
- View the items.
If a green field appears above a date, that date has been locked and time cannot be entered or modified. If a red field appears above a date, that date is unlocked and time can be modified or entered.
Daily Total Review Process
Reviewing daily totals allows a user to view time entered on work orders as well as time manually entered into TimeCard. To Review Daily Totals:
- Access the TimeCard module.
- Select Dashboard.
- Select the hours under the appropriate date.
- Ensure time entry is correct.
- Select OK to submit daily time entry.
By selecting OK, a user is locking their time entry for that day. Once locked, a TimeCard can only be unlocked by the on-site system administrator. Prior to locking a TimeCard, review hours to ensure accuracy.
Correcting a Labor Record
A labor record/time entry can be corrected if a discrepancy is present or a time entry has been omitted. A labor record that needs to be corrected is typically discovered upon the review of daily totals. To correct a non-work order related labor record:
- Access the TimeCard module.
- Select Dashboard.
- Select the hours under the appropriate date.
- Adjust the hours as appropriate. See Time Entry for more information.
- Select OK to submit changes.
To correct a work order related entry:
- Access the TimeCard module.
- Select Dashboard.
- Select the hours under appropriate date.
- Select the Work Order ID number from the lower portion of the Enter Hours page.
- Select the entry that needs modification and select EDIT.
- Adjust the time entry. See Time Entry for more information.
- Select UPDATE to save changes.
If specific times were entered (for example, 1:00 -2:30 p.m.), then the time frame must be adjusted. If an hour was entered (for example, 1 hour), then the number of hours spent must be adjusted.
